3. Contact form and email
When you contact us via the contact form or by email, the details you provide (name, phone number, email address, subject and message) are stored for the purpose of processing your enquiry.
Legal basis: Art. 6(1)(b) GDPR (contract negotiation) or Art. 6(1)(f) GDPR (legitimate interest in responding).
Retention period: until your enquiry has been fully processed, maximum 3 years (statutory retention periods remain unaffected).
Recipients: No disclosure to third parties.
4. Cookies
We use only technically necessary cookies to provide basic page functions (e.g. storing the cookie consent). No consent is required for this (§ 25(2) TTDSG).
Optional cookies (e.g. for analytics or maps) are only set after your explicit consent via the cookie banner. You can withdraw your consent at any time via the link „Cookie settings” in the footer.
5. Google Maps (after consent)
On the contact page, we embed maps from the Google Maps service. Provider: Google Ireland Ltd., Gordon House, Barrow Street, Dublin 4, Ireland.
The map is only displayed after you explicitly click „Load map”. Only then is a connection to Google servers established and your IP address and, where applicable, other data transmitted to Google. Google may transfer this data to the USA.

6. No external fonts / analytics
This website loads no external fonts (e.g. from Google Fonts) and no third-party analytics tools. All web fonts (Inter) are served locally from our server to avoid unnecessary data leakage.
7. SSL/TLS encryption
For security reasons, this website uses SSL/TLS encryption throughout. This is indicated by the „https://” in the address bar. Data you transmit to this website cannot be intercepted by third parties.

We reserve the right to adapt this privacy policy so that it always complies with current legal requirements or to implement changes to our services. The new privacy policy will then apply to your next visit.

AI telephone assistant
For our telephone availability, we use an AI-powered telephone assistant provided by STRATO AG, Otto-Ostrowski-Straße 7, 10249 Berlin. Calls to our number 02043 41100 are forwarded to this assistant, which takes in your enquiry, records it in a structured manner and passes it on to us. The assistant identifies itself as a digital assistant at the start of each call.
Data processed: the caller’s phone number (if provided), the date and time of the call, the content of the conversation in audio and text form (automatic transcription and summary), and any details you provide during the conversation (e.g. name, callback number, email address, property address, your enquiry).
Purpose: receiving and processing your enquiry, making a callback and preparing a quotation, and ensuring our availability also outside office hours.
Legal basis: Art. 6(1)(b) GDPR (processing of your enquiry or the negotiation or performance of a contract); otherwise Art. 6(1)(f) GDPR (legitimate interest in efficient, continuous telephone availability).
Data processing on our behalf: STRATO AG processes the data on our behalf in accordance with Art. 28 GDPR, based on a data processing agreement.
Retention period: Conversation summaries are sent to us by email and deleted once they are no longer necessary for processing your enquiry and no statutory retention obligations apply.
No automated decision-making: The assistant merely records your enquiry; no solely automated decision within the meaning of Art. 22 GDPR is made. Processing is carried out by our staff.

Voice widget „Speak with us”
Our website incorporates a voice widget that allows you to speak directly with our AI telephone assistant from your browser. To do this, a script is loaded from the server strato.ai-voicereceptionist.com (STRATO AG); as a technical necessity, your IP address and browser information are transmitted. A voice connection is only established when you actively click the button and explicitly grant microphone access in your browser. The processing of conversation content is carried out as described above under „AI telephone assistant”. You can revoke microphone access at any time through your browser settings. The legal basis for the integration is Art. 6(1)(f) GDPR (legitimate interest in providing a modern contact option), and for the processing of voice data, Art. 6(1)(b) GDPR.
