Law Firm Cleaning — Discreet and Trustworthy

In a law firm, confidentiality rests on every desk. Client files, pleadings, contracts, tax documents, expert reports — sensitive documents are part of the daily working life of solicitors, notaries, tax advisers and chartered accountants. A cleaning service working in these rooms must be able to do one thing: maintain absolute discretion. Kleibrink GmbH has been cleaning law firms in the Ruhr Area since 1983 — with long-standing teams, a confidentiality declaration and a key management system you can rely on.

The Problem

Law firm cleaning is a matter of trust. Anyone walking through the rooms in the evening has access to documents subject to the solicitor’s duty of confidentiality, notarial deeds, annual accounts prior to publication, M&A dossiers. The professions themselves are bound by duties of confidentiality (§ 43a BRAO, § 57 StBerG, § 18 BNotO) — and this obligation extends to every service provider who enters the premises.

Many law firms have had negative experiences precisely in this area: cleaning companies that work with subcontractors and rotate their staff weekly. Cleaning staff who move files unattended so they can “mop more effectively”. Keys that end up in third-party hands. Desks left open the following morning. These are no trivial matters — they are liability risks and, in the worst case, professional regulatory issues. There is a second, often overlooked aspect: law firms are not only workplaces but also places where clients are received. Clients, opposing parties, expert witnesses, notary clients, independent experts — the audience is more discerning than in a typical office. Anyone paying €350 per hour expects a reception where the glass door is streak-free, the leather armchairs are dust-free and the conference table gleams. And they notice when it is not — even if they never say a word. There are also the presentational requirements: the reception area, meeting room, library and upholstered furniture must reflect the standard clients expect when they are paying six-figure fees.

Our Solution

Kleibrink provides the answer to the particular demands of law firms: fixed teams who work in the same rooms over years and know the routines inside out. Every team member signs a confidentiality agreement based on the requirements of your professional code of conduct. We do not touch files, we do not move documents on the desks — we clean around the workstations. Bin liners are replaced; the contents are not inspected.

Key management is handled by a dedicated site manager, not through rotating hotlines. Keys are handed over with a written log, and key exchanges are documented when staff change. Should you ever need a lock change, we carry insurance that covers it. Cleaning typically takes place in the evening between 18 and 22 o’clock, and for sensitive large law firms, also in the morning between 6 and 8 o’clock. In both cases, our teams are out of the building before the first client appointment.

We take the client-facing side of law firm cleaning as seriously as the confidential side. Reception areas and hearing rooms are cleaned to a separate, higher standard than internal offices: streak-free glass surfaces, well-maintained leather furniture, upholstery cleaning on a quarterly or half-yearly basis, and carpet deep cleaning once a year or as needed. Flowers and plants can — if desired — be included in the care routine. For firms with their own client parking, we can also take on the exterior maintenance of the entrance area on request: pavement cleaning, bins, and winter service in cooperation where required. Everything from a single source, with the same site supervisor — this reduces interfaces and misunderstandances.

Who it’s for

Our law firm cleaning service is tailored to the requirements of legal advisory and auditing professions. Typical clients are sole practitioners and small law firms (1 to 5 lawyers) with a traditional practice in civil, criminal, employment or family law, who are looking for a reliable cleaning schedule without encountering too many changing faces.

Our client base also includes mid-sized boutique firms with specialisations (IT law, M&A, medical law, insurance law, commercial IP) — here we combine office cleaning with a high standard of reception area care. Large firms and alliances particularly value our dedicated teams and the option to clean on Saturdays and bridge days. Notarial offices, in turn, benefit from documented key handover and discretion when handling deed collections. This also includes tax advisory and audit firms, who during peak season (year-end accounts, tax filing deadlines) expect particular care around ongoing desk work. In tax practices in particular, desks are covered in client documents between February and July — here we work even more carefully than usual and do not move a single document.

A particular group within our law firm clients are notarial offices: here, in addition to legal confidentiality, there are specific requirements for deed collections, safekeeping and archive access. We have historically organised notarial premises with restricted access — the archive is either not entered at all (cleaning only when accompanied by notarial staff) or only within a defined, very limited scope of work. The deed rooms, by contrast, are part of our daily routine and are maintained to a high standard, just like client areas.

Your benefits

  • Staff confidentiality undertakings. Every team member is bound to confidentiality in writing — on request, upon submission of your firm’s own agreement.
  • Long-standing teams, no revolving cast. Our staff turnover is low — many of our cleaners have been with Kleibrink for over ten years. That means: the same people, time and again.
  • Cleaning outside office hours. In the evening or early morning — never during client-facing hours. Discreet, quiet, unobtrusive.
  • No access to files or desks. We clean around workstations without moving any documents. A clear instruction to the team.
  • Key management with insurance cover. Documented handover, key insurance — should anything ever happen, you are covered.
  • A dedicated point of contact. The site manager is personally reachable, not just through a ticketing system. For special assignments or last-minute changes, we respond within hours.

How it works

  1. Initial contact. You call or write to us. In the very first conversation, we clarify your confidentiality requirements and preferred working hours (evening or morning).
  2. On-site visit outside client hours. We inspect the premises after closing time or early in the morning — without disturbing clients or staff.
  3. Quotation with confidentiality agreement. You receive the schedule of services with a fixed price and a confidentiality declaration for presentation — or we sign your own.
  4. Kick-off with key handover and team introduction. You meet the site manager and the cleaning team in person. Keys are handed over with documentation, and the first assignment takes place under guidance.

Frequently Asked Questions

Does your staff sign a confidentiality declaration?

Yes, every cleaner assigned to a law firm signs a confidentiality declaration. On request, we use your firm’s own template — many law firms have their own NDAs based on the professional secrecy obligations under the BRAO.

How do you ensure that files are not touched?

Clear instruction: we clean around desks, shelves and piles of files. Bins are emptied; the contents are not inspected or searched. This instruction is part of the induction and is checked on a spot-check basis by the site manager.

When do you clean — in the morning or in the evening?

Both are possible. The more common option: in the evening between 18 and 22 o’clock. Large law firms with long working hours often prefer morning cleaning between 6 and 8 o’clock. We adapt to your firm’s schedule.

Do you have a key insurance policy?

Yes. Our commercial liability insurance includes key insurance, which also covers the costs of a full re-keying. We will provide certificates on request.

Do you also clean upholstered furniture and carpets?

Yes. We offer deep cleaning of upholstered furniture (leather chairs, conference chairs) and carpet cleaning as an additional service — typically once a year, or every six months in high-traffic reception areas.

What happens if there is a staff change on your side?

If a cleaner is reassigned to a different law firm or leaves the company, all keys are logged and returned. The replacement is trained and also signs the confidentiality agreement before entering the premises for the first time.
